How to Share Recordings in Microsoft Teams
1. Start Recording a Meeting
- Join or start a meeting in Microsoft Teams.
- Click on the More actions (three dots) in the meeting controls.
- Select Start recording.
2. Stop Recording the Meeting
- When the meeting is over, click on the More actions (three dots) again.
- Select Stop recording.
3. Locate the Recording
- Go to the Chat tab in Teams.
- Find the meeting chat where the recording is saved.
- Alternatively, you can go to the Calendar and open the meeting event to find the recording.
4. Share the Recording Internally
- In the meeting chat, click on the More options (three dots) next to the recording.
- Select Open in OneDrive.
- In OneDrive, click on the Share button.
- Enter the email addresses of internal participants or select from your contacts.
- Set the permissions (view or edit) and click Send.
5. Share the Recording Externally
- Follow the same steps to open the recording in OneDrive.
- Click on the Share button.
- In the sharing settings, select 'People you choose' with the link can view or edit.
- Set an expiration date for the link if needed and add a password for extra security.
- Enter the email addresses of external participants and click Send.
6. Approve View Permission Requests
- When a user requests view permission for the recording, you will receive an email notification.
- Open the email and click on the Open button to go to the permission request.
- In OneDrive, you will see the list of pending access requests.
- Click on the Approve button next to the user's request.
- Optionally, you can set specific permissions (view or edit) before approving.
Additional Tips
- Permissions: Ensure you set the appropriate permissions for internal and external users.
- Security: Use passwords and expiration dates for external sharing to enhance security.
- Notifications: Inform participants that the recording is available and share the link with them.
